Frequently Asked Questions

General

What is eCLINICIAN?

The eCLINICIAN EMR is a system-wide scheduling and electronic medical record system being implemented in ambulatory clinics across the Edmonton Zone. As such, it is now being implemented in phases at the MCH. It will provide an accessible up-to-date, electronic medical record, which will enhance patient quality care.

What is eCLINICIAN used for?

eCLINICIAN is used by ambulatory services and staff throughout the Edmonton Zone for:

  • Referrals and scheduling (patient appointments);
  • Charting; and
  • Clinical Decision Support.

What’s the benefit to me?

eCLINICIAN is an enterprise-wide system that provides a single patient electronic chart which is shared among the clinics using this system. This shared documentation helps to:

  • Improve efficiency;
  • Reduce information gaps; and
  • Enable better continuity of care for our patients.
The system will help you better communicate with external providers, one another and the patient.

What’s the benefit to our patients?

eCLINICIAN supports the vision of one patient, one record. Other benefits include:

  • Patient safety - checks for a patient’s drug interactions and brings allergies to the forefront.
  • Ability to track the patient’s experience through the healthcare system - all of the patient’s past and future appointments and their corresponding charting and notes in eCLINICIAN are available for you to see.

How will an EMR protect personal health information?

All information in the system is protected by providing secure access to those required to access eCLINICIAN in their professional roles in the provision of care to the patient. Additional security and privacy mechanisms include:

  • Access provided based on your role;
  • Audit capabilities;
  • Individual Log on and password;
  • Time out features; and
  • Sensitive note capabilities.
Throughout this implementation, security and privacy will be discussed in detail with your clinic and clinical leads

Sites and clinics

What Covenant Health sites are currently using eCLINICIAN?

The MCH is the first to go live with EMR (electronic medical records) for Covenant Health, with the exception of the mental health departments.
Covenant Health started rolling out A2S (scheduling) in 2013. As Alberta Mental Health was rolling out the EMR across the zone, all Covenant Mental Health areas were included in this roll out, including the Grey Nuns Community Hospital, followed by the MCH and Edmonton General Continuing Care Centre.

Will eCLINICIAN be implemented at other Covenant Health sites?

The intention is to continue the ambulatory rollout to those EZ ambulatory sites not yet rolled out, however at this point funding is not committed beyond 2016/2017 fiscal year. If funding becomes available these other EZ ambulatory sites will be considered.

Which clinics are included?

The MCH implementation includes the ambulatory services in the attached list. The implementation team will be working with the designated clinics in a coordinated, consultative process to help meet each clinic’s specific needs.

Why isn’t my clinic included?

There are a variety of reasons some of the clinics are out of scope including that some are currently using an EMR, some have ties to in patient processes, etc.

I have a specific question about the build/workflows in my area.

Discuss your question with your unit manager and they can connect you with the correct person.

Who is part of the eCLINICIAN team?

This project is co-sponsored by Janet Schimpf, Senior Operating Officer Acute Services and Dr. Bob Black, Medical Director.
The MCH Site Sponsors includes Yolanda Lackie, Andrea Magee and Carol Babcock .The eCLINICIAN Project Team includes approximately 32 members from AHS, who will ensure the project is implemented successfully. They are located in the Cabrini Building B-110.

Can I join the eCLINICIAN implementation team?

We are looking for Super Users and Subject Matter Experts to ensure we understand each clinic/service/program’s processes and needs. If you are interested, please speak with your Manager before contacting a site lead.

Why are we implementing eCLINICIAN over one of the other EMR systems?

eCLINICIAN is the ambulatory record of care in the Edmonton Zone, providing a shared Electronic Medical Record and Access to Services (scheduling) system for the AHS Edmonton Zone ambulatory
outpatient services.
